If you’re looking for inspection software, it doesn’t take long before the products start to look remarkably similar.
They all talk about mobile inspections. They all have templates. They all collect photographs. They all produce reports. They all talk about saving time.
And increasingly, they all talk about AI.
But the important difference isn’t necessarily the number of features a system has.
It’s how the system expects you to carry out an inspection.
That is why comparing inspection software by ticking boxes on a feature list can be surprisingly unhelpful.
A better question is:
Does the software fit the way you actually inspect?
Three quite different approaches
There are broadly three approaches worth considering.
The first is the traditional structured inspection.
You define what needs to be inspected, build a template, work through the inspection, collect the evidence, review it and then produce the report.
The second is the newer AI-first approach.
You walk around the property, record video, talk about what you see and let AI turn that material into a structured report for you to review.
The third is the broader enterprise inspection platform.
The inspection is part of a much larger operational system involving properties, teams, dashboards, actions, compliance, reporting and portfolio management.
All three approaches can be good.
The question is which one fits your business.
The appeal of video and AI
Let’s start with the obvious attraction.
Imagine walking into a property, pressing record and simply talking as you go.
You describe what you see.
You point the camera at the relevant areas.
You finish the inspection.
The system processes the recording, transcribes your commentary, extracts images and builds a report for you to review.
That is an attractive proposition.
If the main problem in your business is spending hours at a desk turning site notes and photographs into prose, then reducing that writing burden could be extremely valuable.
And we’re not arguing against that.
AI can be very good at reducing repetitive work.
The question is whether everything about an inspection is repetitive work.
What are you actually trying to achieve when you walk into a property?
This is where things get more interesting.
Suppose you have a room to inspect.
You don’t just want a recording of the room.
You may want to make sure that you’ve:
- photographed it from several angles
- photographed the ceiling
- photographed the floor
- inspected the windows
- inspected the heating
- recorded the condition
- photographed an issue in context
- photographed the issue close up
- added a note
- recorded a particular measurement or response
That is an inspection methodology.
A camera can record the room.
But an inspection template can tell you what you were there to inspect.
Those are two different things.
And for some types of inspection, that distinction matters enormously.
What if the property owner is following you around?
This is one of those practical issues that doesn’t always appear in a software demonstration.
Imagine you’re inspecting an occupied property and the owner or client is following you from room to room.
You may not want to narrate every professional observation out loud.
Perhaps you’ve spotted something that needs further investigation.
Perhaps you’ve noticed evidence of woodworm, damp, asbestos-containing material or another issue that you don’t want to casually announce before you’ve completed your assessment.
Perhaps you simply want to look, think, photograph and record your conclusion later.
You might not want to walk around talking continuously into your phone.
And sometimes you can’t.
The property might be:
- noisy
- windy
- occupied
- undergoing renovation
- full of contractors
- next to machinery
- in a busy communal building
- difficult to hear in
- simply not conducive to talking through every observation
None of that means that video and AI are bad.
It means that the working environment matters.
A workflow that looks wonderfully simple in a demonstration needs to be considered in the environment where the inspection actually takes place.
Do you want to narrate your professional judgement?
There is another subtle issue.
An inspector isn’t necessarily thinking in finished sentences while walking around a property.
Sometimes you look at something, take a photograph, consider it, compare it with something else and only then decide what you want to say.
Professional judgement doesn’t always happen in a continuous spoken stream.
That is particularly relevant where the report has professional, contractual, insurance or regulatory implications.
AI can help write the report.
But the professional still needs to decide what the report should say.
That’s why we think the question isn’t whether AI should be used.
The question is:
Where should AI be used?
AI should be useful, not compulsory

Sometimes you just want to get on with the inspection.

Structure doesn’t have to mean rigidity
There is a misconception that structured inspections have to be slow and cumbersome.
They don’t.
A well-designed template can make an inspection faster.
Instead of thinking:
What do I need to record here?
the system can simply present the things you need.
You tap the appropriate response.
Take the photograph.
Add a note if necessary.
Move on.
And if something unexpected happens, the system should allow you to deal with it rather than forcing you back into a rigid process.

Templates are more important than they first appear

One surveyor may have a particular methodology.
Another business may have a client-specific process.
A housing organisation may need complete consistency across hundreds of inspections.
A specialist consultant may need a highly specific workflow.
Good inspection software should accommodate those differences.
The report is not the inspection
This is another distinction we think is important.
The inspection produces information.
The report publishes that information.
They are related, but they aren’t necessarily the same thing.
You might carry out one inspection and need to produce:
- a detailed client report
- a short executive summary
- an issues list for a contractor
- a technical appendix
- an interactive web report
- a different branded report for another client
That is why report design matters.

So don’t just ask:
Does it work offline?
Ask:
What actually happens to my inspection when the connection disappears?
Where is the information stored?
Does it synchronise incrementally?
What happens when the connection returns?
What happens if something fails?
Can I see what has synchronised?
What happens if the device itself is lost?
Those are much better questions than a simple tick in an “offline” column.
The real comparison
So perhaps the most useful way to compare inspection software isn’t:
Which system has the most features?
It’s:
Which working method suits your business?
If you want to walk around a property, talk naturally and have AI do as much of the report writing as possible, an AI-first inspection platform may be extremely attractive.
If you are running a large property operation and need inspection, actions, compliance, dashboards and portfolio management in one system, an enterprise inspection platform may be the natural choice.
If you want to define your own inspection methodology, control what your inspectors collect, maintain structured evidence, review what was submitted and decide exactly how that information becomes a report, a flexible inspection platform may be the better fit.
There isn’t a universally correct answer.
And we don’t think there should be.
Try the inspection, not the sales demonstration
Our advice is simple.
Take one of your real inspections.
Don’t use a made-up demonstration property.
Use the inspection your business actually performs.
Then test each system.
Walk into the property.
Try it with the owner standing beside you.
Try it somewhere noisy.
Try it without a signal.
Try taking the photographs you actually need.
Try dealing with something unexpected.
Try reviewing the completed inspection.
Change something.
Look at the original.
Produce the report.
Change the report.
Then ask your inspectors a simple question:
Which system helped you do your job rather than making you work around the software?
That’s probably the most useful comparison of all.
