
A professional inspection report starts before the first page of inspection information. The cover sets the tone for the whole report and gives the finished document a clear, consistent identity.
When we were designing BrightChecker, we wanted report covers that looked professional without forcing every customer into the same design. We found an approach that worked for us — combining a designed visual background with live inspection information and editable design elements.
This isn’t a step-by-step guide to using the Design Card. We’re not going to show you which button to press or where to find each function. That’s covered in our Capabilities and training material.
Instead, this is about the approach we used and how you can apply the same thinking to your own inspection reports.
Start with what the cover needs to communicate
Before thinking about colours, graphics or AI, decide what information the cover actually needs.
For our property inspection reports, that meant:
- Template name
- Property address
- Postcode
- Survey date
- Surveyor
- Organisation logo
The important point is that this information doesn’t need to be manually added to every report.
BrightChecker uses dynamic data tags so that information such as the template name, address, postcode, survey date and surveyor can be populated from the inspection itself.
That means you can design the cover once and let the inspection data do the rest.
Think of the design as layers
The approach that worked particularly well for us was to think of the cover as a series of layers — almost like a sandwich.
Visual design → live inspection information → design elements
The visual design provides the foundation. Live information sits over that foundation, and additional design elements can then be positioned around it.
This gives you much more freedom than treating a report cover as a collection of fixed fields.
If you already have artwork from a graphic designer, you can simply use that as the starting layer.
If you don’t, you can create the visual yourself or use generative AI to get a starting point.
Using AI to create the starting design
We experimented with Microsoft Copilot to create cover artwork.
The useful thing about generative AI is that you don’t need to start with a blank page. You can describe the type of design you want and use the result as a visual starting point.
For example, you might specify:
- The industry you’re working in
- What the report is for
- A4 portrait format
- Your preferred colours
- RGB or hex colour values
- How much of the page should remain clean white
- Architectural imagery, shadows or technical drawings
- The overall style and feel
The first result doesn’t have to be perfect.
In fact, expecting AI to produce the finished artwork in one attempt is probably the wrong approach.
One lesson we learned
Generative AI is generally much better at creating something from nothing than making small, precise changes to something it has already created.
You can spend a surprising amount of time asking it to move one element, change one colour or make one small adjustment — only to find that it changes three other things as well.
So if you’re using AI, don’t become obsessed with perfecting one generated image.
Get reasonably close, then move on.
If you need a truly polished result, a graphic designer can take the concept and turn it into proper artwork using the individual design components.
Create the cover and back sheet together
If you’re producing both a front cover and a back sheet, we found it useful to generate them together using the same brief.
That helps keep the visual language consistent across the report.
The important thing is not to think of the AI image as the report itself. It is the visual foundation that you can then build your actual report design around.
That distinction matters because your inspection information remains live and connected to the inspection.
Make the design reusable
Once you’ve created a good cover design, the real value comes from making it reusable.
The associated layout can then be used with BrightChecker templates, including templates created with AI.
That gives you a useful combination:
AI can help create the starting point. Your template defines the inspection. The report layout brings the two together.
You can then adapt the design for your own organisation, branding, industry or type of inspection.
You don’t have to accept a generic report simply because you’re using inspection software.
The principle we took away
The biggest lesson for us wasn’t really about the Design Card.
It was about separating design from data.
Your visual identity shouldn’t have to change every time the inspection information changes. Equally, the inspection information shouldn’t dictate what the finished report has to look like.
Keeping those things separate gives you freedom to create professional layouts while still allowing the report to be generated automatically from the inspection.
That’s the approach we took when designing BrightChecker’s report layouts.
